These terms cover your use of Tailroom — the iOS app, the website at tailroom.app, and the Tailroom Plus subscription. Using Tailroom means agreeing to these terms. If you don't agree, please don't use the app.
If something here is unclear, email support@tailroom.app and we'll explain. We'd rather you understood what you agreed to than skimmed past it.
What Tailroom is, plainly
Tailroom is a voice-first app that records what you say, transcribes it, and uses an AI to reflect what you said back to you in a structured way. It is designed to help you clear what's running in your head — not to diagnose you, treat you, advise you, or replace anyone in your life who can actually do those things.
We want to be specific about what Tailroom is not, because this matters for what you can rely on:
- Tailroom is not therapy and is not a substitute for therapy.
- Tailroom is not medical advice and is not a substitute for advice from a doctor, psychiatrist, psychologist, or counsellor.
- Tailroom is not crisis support. If you are in crisis, please contact emergency services or a crisis line. In Australia, Lifeline is 13 11 14. The app surfaces similar links when it detects you may be describing a crisis, but it is not a crisis response service.
- Tailroom is not financial, legal, or professional advice on anything you talk about into it.
- Tailroom is not a journal, even though it stores what you said. We don't optimise for journal use cases, and you should not rely on Tailroom as a record-keeping system.
If you need any of the things Tailroom is not, please get them from someone who is qualified to provide them. We are not.
Your account, or the lack of one
There is no account. You don't sign up. You don't log in. We don't know who you are.
That has a consequence worth being explicit about: if you uninstall Tailroom, change phones without an iCloud backup, or wipe your device, your sessions are gone. There is no "log in on a new phone and your data is back" — there's no server holding your data. You own and control the data; you are also responsible for it.
If you want a backup, enable iCloud backup in Settings (off by default).
The AI reflection — what you can and can't rely on
Tailroom uses an AI (Claude, made by Anthropic) to generate the reflection on what you said. AI-generated content has limitations you should know about before using the app for anything important:
- The AI can be wrong. The reflection may misinterpret what you said, miss what mattered, or include observations that don't fit.
- The AI is not a person. It does not actually understand you. It produces output that looks like understanding because that's what it was trained to do, but you should treat its output the way you'd treat the suggestions of a thoughtful stranger who knew nothing about you twenty minutes ago.
- The AI can produce harmful content in rare cases despite our best efforts to prevent it. If a reflection contains anything you find harmful, please report it to
support@tailroom.appand we will investigate, log it in our eval set, and update the system prompt. - The AI is not advice. The Patterns section, the Open loops section, the closing line — these are observations and sorting, not recommendations.
- You make your own decisions. The app does not make decisions for you, suggest decisions, or guide your decisions. If you act on something the AI said, that's your call, not ours.
We are not liable for decisions you make on the basis of an AI reflection. This isn't a brush-off — it's a real statement. The product is designed not to give advice, and you should not treat it as if it does.
Your content, your data
Anything you say into Tailroom is yours. The transcripts, the reflections, the items, the sessions — all of it belongs to you. We don't claim any rights in your content. We don't licence it. We don't use it for anything other than producing your reflection.
For the avoidance of doubt: you grant us the limited, non-transferable, time-bound right to transmit your transcript to Anthropic's API solely for the purpose of generating the reflection you asked us to generate. That right ends the moment the reflection comes back. We don't retain a copy.
If you share a reflection through the system share sheet (the "Send this somewhere" button), the destination app and its terms apply to the copy you've sent there. We have no involvement in that copy.
Tailroom Plus subscription
If you subscribe to Tailroom Plus through the App Store, the following applies:
- Price. Tailroom Plus is AUD $6.99 per month or AUD $49.99 per year. Apple may show this price converted to your local currency at the time of purchase. Apple sets the conversion and any applicable taxes.
- Free trial. New subscribers get a 7-day free trial. Cancel at any time before the trial ends to avoid being charged.
- Auto-renewal. Apple manages your subscription. By default it renews automatically at the end of each billing period. You can turn off auto-renewal at any time in your App Store account settings. We do not control your billing — Apple does.
- Cancellation. Cancel through your App Store account settings (Settings → Apple ID → Subscriptions on iOS). Cancellation takes effect at the end of the current billing period; you keep Plus access until then.
- Refunds. Refunds are issued by Apple under their refund policy, not by us. If you believe you were charged in error, you can request a refund through Apple's "Report a Problem" process at
reportaproblem.apple.com. We have no ability to issue refunds directly. - What you get. Plus removes the 90-second cap on session length (up to 10 minutes), enables multi-round sessions ("There's more to say"), and writes Apple Health Mindful Minutes for completed sessions. The Plus feature set may evolve; significant reductions in what Plus includes will be communicated in an in-app notice.
- What you can do without Plus. The free tier of Tailroom is fully functional. There is no frequency cap. Most users can experience what Tailroom does on the free tier; Plus is for users who want longer sessions and the multi-round flow.
Acceptable use
This is a private app, and we trust you to use it sensibly. The following uses, however, are not allowed:
- Reverse engineering the app, decompiling it, or extracting the API key for use outside Tailroom. (The API key embedded in the app is for the app's use only.)
- Automating sessions — scripting recordings, batch-uploading transcripts, or otherwise driving the app programmatically.
- Submitting content on someone else's behalf without their knowledge — particularly recording someone else's voice without their consent. Use Tailroom for your own thoughts, not as a surveillance tool.
- Submitting content for the purpose of extracting personal information about a third party. The AI does not "research" anyone; trying to use it to do so violates these terms.
- Bypassing the duration cap on the free tier through software modifications, jailbroken installs, or otherwise.
- Submitting content that violates Anthropic's Usage Policies — these flow through to anything we send their API. Their current usage policy is at

If we detect or are made aware of any of the above, we may need to block your device's access to the reflection API. Because we have no accounts, this is rare and handled case-by-case.
Limitation of liability
To the maximum extent permitted by applicable law, Tailroom is provided "as is" and "as available", without warranties of any kind. We don't warrant that the app will be uninterrupted, error-free, or accurate.
We are not liable for:
- The content of any AI-generated reflection, including any decision you make on the basis of it
- Any loss of your locally-stored sessions (back them up via iCloud if they matter to you)
- Any third-party service used by the app — Anthropic, Apple — when those services are unavailable, change their terms, or modify their behaviour
- Any indirect, consequential, incidental, or punitive damages arising from your use of the app
Where applicable consumer protection law gives you non-waivable rights (the Australian Consumer Law, EU consumer rights, US state consumer rights), those rights are not limited by this section. The limitations above apply only to the extent the law permits us to limit them.
Our maximum aggregate liability to you for any claim related to your use of Tailroom is limited to the amount you have paid us in subscription fees in the 12 months preceding the claim, or AUD $50, whichever is greater.
Termination
You can stop using Tailroom at any time by uninstalling the app. If you have a Plus subscription, cancel it through your Apple ID account settings.
We can stop offering Tailroom — or specific features — with reasonable notice. If we discontinue the app, we will publish a notice on tailroom.app and aim to give at least 90 days' warning. Your local data is not affected by the app being discontinued; it remains on your device until you delete it.
Changes to these terms
If we change these terms, we will update the "Last updated" date and post the new version at tailroom.app/terms. For material changes — changes that affect your rights, your subscription, or what we do with your data — we will provide notice in the app. Continued use after material changes constitutes acceptance.
If you don't agree to changed terms, please stop using Tailroom.
Governing law and jurisdiction
These terms are governed by the laws of Western Australia, Australia. Any dispute arising from or relating to your use of Tailroom that is not resolved by direct communication with us will be subject to the exclusive jurisdiction of the courts of Western Australia, except where local consumer protection law in your jurisdiction requires otherwise.
If you are an EU consumer, you may also bring proceedings in the courts of the EU member state where you are habitually resident. If you are a UK consumer, you may bring proceedings in the courts of the UK. Australian consumers retain rights under the Australian Consumer Law.
